Overview
Some trips require travelers to complete requirements such as forms or signature documents. Let's look at an example of a traveler going to South Korea to see how they interact with the content items build and deployed by their institution.
To register their upcoming travel, travelers must complete the required fields in the Create New Trip modal:
After entering their trip details in the Create New Trip modal and clicking Continue, travelers are taken to the full trip registration page:
If further action is required to be taken on a trip before it can be submitted, an exclamation icon will appear on trip:
Forms
The Forms tab displays any forms your office has asked this traveler to fill out. Our example has one required form:
Clicking the carrot to the right of the form title, directly under the "Completed x of y," will collapse or expand the form, allowing for easier navigation and a more efficient registration process. The numbers within the "Completed x of y" phrase are the number of questions that have been answered "x" and the total number of questions on the form "y":
Essential Content
The Essential Content tab contains the signature forms and useful content items relevant to the traveler and their trip:
Each item can be clicked into and viewed. Signature documents must be digitally signed by clicking the “Click to sign” link.
Within the trip registration modal, the Next’ button allows the user to proceed through all trip tabs. The Previous button allows the traveler to navigate to the preceding tab. Clicking Save and Finish saves the traveler's entered data. The traveler can return to complete/edit their trip requirements as needed:
Approval History
Once the traveler has completed all of their required items, they will be prompted to submit their trip if approval is necessary. Not all trips require approval, but if the trip in question does, the traveler can view the status of their approvals on the Approval History tab:
Editing an Approved Trip
A trip's location and dates can be edited by clicking the trip name or dates on the Itinerary tab:
If attempting to edit the location and/or dates of an Approved trip, the traveler will be notified that they must resubmit the trip for approval. In order to edit theses trip details, the traveler must click "Yes" on the Edit trip modal:
After changing the location and/or dates of the trip, the traveler should click the Save and Finish button at the bottom of the trip modal to save their changes:
The traveler should then click "Submit" to resubmit their trip for approval:
