Terra Dotta for Agreements Management is a web-based software module, typically installed on an existing Terra Dotta site, that automates processes for agreement proposals, approvals, and renewals.
The Agreements Management module requires information about HR users to enable the functionality for proposing and approving agreements. The following information is required for all HR users for the Agreements and Partnerships module to operate:
-UUUID (unique, universal, and unchanging identifier)
-First Name
-Last Name
-College
-Department
-HR Flag
Terra Dotta will also need a hierarchy list detailing each college name and its unique code, along with the corresponding department name and its unique department code. This should align with the department and college data that your institution's IT provides Terra Dotta for all potential HR users.

New Terra Dotta Clients:
There are two options to integrate with the Agreements and Partnerships module:
Option 1: Standard Fetch (including SIS and HR users in a single file):
The standard fetch approach requires a single data file containing all potential applicants and HR users (Faculty/Staff) who may use the Terra Dotta system. The standard approach was designed for simplicity, requiring only one point of integration. The disadvantages of the standard approach center on the overhead and security concerns that accompany the export of potentially thousands of rows of personal data to a system that may only use a small fraction of that data.
Option 2: Deferred Fetch (including SIS and HR users in a single core file)
The deferred fetch approach splits the data into two files: the |Core Data File and the Custom Data File. The Core Data File contains only core data (UUUID, First name, Last name, Email, HR Flag, College, Department, DOB*, Gender*, Confidentiality Indicator*) for ALL potential applicants and HR users (Faculty/Staff) that may use the Terra Dotta system. The Custom Data File contains the rest of an applicant's information, but only for ACTIVE applicants.
Once a user has an active application in the Terra Dotta system, their profile will be populated with Core Data only. Then the user’s UUUID will be written to the Terra Dotta Applicant Pool file by a nightly scheduled task. The pool file format is a single-column text file with no header row using the [CR][LF] end-of-line characters.
You will pick up this pool file each night to provision the additional information in the Custom Data File. The additional information will be loaded into an applicant's profile the following day.
