This Knowledgebase article reviews the functions and features of the Student List within ISSS Student. The Student List contains a complete list of all international student profiles present in ISSS Student. This list can be narrowed down via searches and filters as needed by ISSS Admins, who can also take certain actions and create new student profiles from this page.
Dashboard
The Student List is generally the first page an ISSS Admin will land on when entering ISSS Student. To navigate to the Student List from another page, click on the Hamburger menu button located in the upper left corner of the page and select Student List.
If no search fields or filters are applied, the Student List will display the complete list of international student profiles present in ISSS Student. The list is organized with the following information:
- Student Name: Name of student
- Student ID: institutional/school ID number, if present
- SEVIS ID: SEVIS ID number
- SEVIS Status: student’s current SEVIS status
- Visa Type: student’s visa type
- Gender: student’s stated gender
- Email: student’s email address
- Portal Access: if student has access to their Student Portal, a checkmark will appear. If not, an X will appear in this column.
- Single Sign-On: icon will appear colored in if student uses single sign-on. If not, icon will be white.
- Stage Status: current stage in ISSS Student.
Admins can configure which columns display by clicking the cog in the upper righthand corner of the page, and selecting/deselecting the appropriate fields from the dropdown menu:
Actions
The Actions menu is located in the upper left corner of the Student List. Clicking on this item will bring up a list of all possible actions that an ISSS Admin can take from the list.
Available actions are as follows:
- Invite Student: send a Student Portal invitation to a student who does not yet have access
- Email Selected Records: email any students selected from the list
- Email All: send an email to all students on the list
- Add Request for Selected Students: add a request to any students selected from the list
- Add a Request for All: add a request to all students on the list
- Add/Remove Tag from Selected Records: add or remove a tag from the profile header of any students selected from the list
- Add/Remove Tag for All: add or remove a tag from the profile header of all students on the list
Create
The Create button can be found to the right of the Actions menu at the top of the Student List. This feature allows ISSS Admins to create F-1, J-1, and “other” visa category international student profiles.
The options available via the Create button are:
- Student: used to create a student profile for any “other” visa categories configured on site.
- F-1 Student: used to create a F-1 student profile.
- J-1 Student: used to create a J-1 student profile.
- J-1 Cohort: used to create multiple J-1 student profiles.
Search and Filters
The Search field is located at the top of the Student List. Here, ISSS Admins can search for specific students by name, email address, SEVIS ID, or Student ID.
In addition to searching for specific students, ISSS Admins can apply a number of filters to narrow the list down to a more specific cohort of students. The available filter options are:
- Saved Filters
- Single Sign-On
- Stage Status
- Portal Access
- Campus
- Country of Birth
- Country of Citizenship
- Country of Permanent Residence
- SEVIS Status
- Visa Type
- Program Date
- Custom Field
- With Tags
- Without Tags
Note for the "Without Tags" Filter: This filter option allows admins to filter the Student List results for users who do not have certain tags. The logic used for this filter is not compounding; selecting multiple tags will broaden your search results.
To include students from the Archived stage in the search, ISSS Admins must check the 'Include Archived Students' box in the bottom left corner of the filter modal. Similarly, ISSS Admins must check the 'Reinstatement' box if they wish to include students in the process of applying for a Reinstatement in the search.
To filter the list once all desired fields are selected, click the Search button in the bottom right hand corner of the modal. To remove all selected filters, click the Reset Filter button to the left of the Search button.
If there is a cohort of students that ISSS Admins needs to search for on a regular basis – for example, Active F-1 students with I-20 end dates in the next 30 days – it is possible to save the search so the ISSS Admin doesn't need to set it up from scratch each time. To save a filter, open the filter modal and select necessary filters to identify the desired cohort. Next, click the Save Filter button in the bottom right corner of the modal.
The Save Filter modal will appear. Enter a name for the filter (eg. Continuing J-1 Students) and click Save. Once the filter has saved successfully, it can be applied via the Saved Filters option in the upper left hand corner of the filter modal.
