Tags are a customizable set of labels that the clients can create and add to the header of student profiles to display specific alerts and information about students (such as leave of absence, concurrent enrollment, etc.). ISSS Admins can add as many tags as desired to student profiles. ISSS Admins can also designate certain tags as “critical,” which means they will appear in an alert immediately upon opening a student profile with said tag applied to draw extra attention to the information. This KB article reviews the process of creating and editing tags, setting them as critical, adding/removing them to Student Profile headers, and using tags as search filters in the Student List.

The Tag Configuration Page
Navigate to the Tag Configuration page by clicking on the hamburger menu in the upper left corner of the page and then going to Configuration > Field and Tag Configuration.
The ISSS Admin will then land on a dashboard displaying fields. To open the tag dashboard, click Tag Configuration on the right side of the header. The ISSS Admin will then land on a dashboard displaying any existing tags. In addition to any custom tags created by ISSS Admins, Terra Dotta has provided 10 default tags based on common use cases and best practices. The default tags are:
- Out of Status
- Leave of Absence
- Late Arrival
- No OPT Employer
- STEM Reporting
- I-94 Issues
- Concurrent Enrollment
- Reinstatement
- Initial with POE Info
- Active Requiring Registration
Existing tags will display the Tag Name. The Critical column will display a checkmark if the tag has been designated “critical” and an X if not. Lastly, the Actions column will display the edit pencil and the trashcan icon to delete any custom tags.
Note: while it is possible to edit the aforementioned default tags, they cannot be deleted. Tags can be rearranged by clicking and holding the two vertical bars to left of the tag name.
Creating and Editing Tags
To create a new tag, click on the Plus button located in the lower left corner of the Tag Configuration page.
This will open the Tag configuration modal, where ISSS Admins can enter the Tag Name and designate the tag as critical or not critical by selecting Yes or No next to the Critical? Question. Once ready, click Save. After saving, the new tag will appear in the Tag Configuration list and can be added to Student Profiles.
To edit an existing tag, simply click the pencil icon to the right of the Tag Name. This will open the Tag configuration modal, where the Tag Name can be edited and the tag set to Critical (or not).
To delete an existing custom tag, click the trashcan icon to the right of the pencil icon. It is not possible to delete a default tag.
Adding and Removing Tags from Student Profiles
Tags can be added and removed from the header of student profiles in two ways:
- Directly in the Student Profile header
- From the Actions menu in the Student List
Adding/Removing Tags in Student Profile
To add a tag directly in the Student Profile, open the profile of the desired student. At the bottom of the header, any tags already applied to the student will appear. To add a new tag, click the Add Tag button.
A list of existing tags will appear. Any tags that have been designated as “critical” will be highlighted in a darker color (our example shows the critical tags in yellow), while non-critical tags will appear with a white background. Select the tag you wish to apply to the student. The selected tag will now appear in the student header.
To remove a tag directly from the Student Profile, simply click the x on the right side of the tag you wish to remove.
After clicking the x, a Delete Alert will appear confirming that you wish to remove this tag. To proceed, click Remove Tag. The tag will now disappear from the student header.
Adding/Removing Tags in Student List
To add and remove tags from the Student List, simply navigate to the Student List via Menu > Student List. Click the Actions button in the upper left corner.
The Actions dropdown offers two options for adding and removing tags. The first is Add/Remove Tag from Selected Records. The second is Add/Remove Tag for All.
To add or remove a tag from one student or a select group of students, check the boxes to the left of the desired student names. Then select Add/Remove Tag from Selected Records from the Actions items. Note that the number of selected students will appear in parenthesis next to the action name.
To add or remove a tag from all students appearing in the Student List at a time, it is not necessary to select any of the checkboxes. Simply select Add/Remove Tag for All from the list of Actions items. Again, the total number of students appearing in the Student List will appear in parenthesis next to the action name.
After selecting the appropriate add/remove tag option, the Add/Remove tag modal window will appear. The total number of selected students will appear at the top of the modal, with Add and Remove dropdowns below.
To add a tag(s) to the selected students, click the arrow to the right of Add. A dropdown list of all tags will appear. Check the box to the left of the name of the tag(s) you wish to apply to the selected students. When ready, click Ok. The tag(s) will now appear in the Student Header for all selected students.
To remove a tag(s) from the selected students, click the arrow to the right of Remove. A dropdown list of all tags will appear. Check the box to the left of the name of the tag(s) you wish to remove from the selected students. When ready, click Ok. The tag(s) will now be removed from the Student Header for all selected students.
Tags in the Student Profile - ISSS Admin Perspective
When viewing a student profile, any existing tags applied to the student will appear at the bottom of the student header. Any tags that were designated as critical in Tag Configuration will appear with a darker, colored background to make them stand out from non-critical tags and call the ISSS Admins attention. Non-critical tags will display with a light gray background. Tags can be added and removed directly from the header.
Critical tags will also prompt an alert to appear when an ISSS Admin navigates to a student profile with applied critical tags for the first time in a day. The alert will appear as a modal window listing any critical tags present in the student header. ISSS Admins can dismiss this alert for the day by clicking the Ok button.
Using Tags as Search Filters in Student List
ISSS Admins can use tags as search filters in the Student List. To filter the Student List by tags, first navigate to the Student List and click the carrot in the right corner of the search bar. Select Tags from the list of available filters.
Selecting Tags will show a dropdown of all tags configured to display in the student header. Check the box(es) to the left of the desired tag name(s), then click Search to narrow the Student List down to only those students with the designated tags present in their student profiles.
