Overview
The Submit Button is an optional feature that allows site administrators to configure the use of a button on completed applications for programs in the pre- and/or post-decision phases. After all application requirements have been completed in the Applicant Experience, only then will the submit button appear at the top of the application page. An applicant must click this button to formally submit their application.

Important Considerations:
- The submit button is configured on a per-program basis.
- Offices are encouraged to leverage the application instructions as well a requirement, such as a Learning Content, to provide the desired communication on how to submit the application.
- The submit button is configured for a program in the Program Wizard. See the Using the Program Wizard article for permission and access information specific to that feature.
Using the Submit Button
Application Page
The submit button provides a way to ensure that applicants have completed all required action items as part of a program application in the Applicant Experience. When enabled for a program, the submit button will only appear at the top of an application page after all requirements of an application have been completed.
After an applicant clicks the submit button, the application is considered submitted. A confirmation message appears containing a date stamp.
Submit Button Alert
When the applicant is logged in and on their application page, then after they take action to complete the last requirement of their application, a submit button modal will appear as an alert across the application page with the following message: You have completed all the current requirements for this application. It is ready to be submitted to the office. This message is hard-coded and cannot be modified.
From this modal, the applicant can click on the "Submit Your Application" button to complete the action.
If the last requirement is completed (such as a recommendation submission) and the applicant is not logged in, then they will need to remember to log into their account and click on the submit button at the top of the application page.
Application Submitted Trigger
The submit button is also used with the Application Submitted Trigger. After an applicant clicks on the submit button and the conditions of your trigger are met, then it is possible to automatically mark an application as "Ready for Review". See the Application Triggers article for full details.
Enabling the Submit Button
To enable the submit button for a specific program, follow these steps:
1. Navigate to the Admin Console > Program Finder to locate the program for which you'd like to enable the submit button.
2. After locating the program, view the program in full in Program Wizard. Navigate to the fifth step, "Application Lifecycle".
3. Select your desired application phase, such as "Pre-Decision", using the phase dial.
4. Click the toggle for "Application Submit Button".
This action will prompt additional configuration options to appear for use. These include the following:
Custom Submission Message: Create specific messaging to appear to applicants upon the successful submission of a pre-decision application.
Pre-decision Application Tag: Choose a tag that will be added to an application upon submission for this program.
Pre-decision Status: Select the status for an application once it is submitted for this program.
Application Submit Requirement: Set the configuration for recommendations associated with this program. Recommendations are counted as requirements in the progress wheel of an application when the submit button is enabled. Choose from the following:
- No recommendations requirement.
- Recommendations Must Be Requested. This means that a recommendation must only be requested by an applicant in order for the recommendation as a requirement of the application to be considered completed. After the recommendation is requested, the recommendation is counted as completed in the progress wheel of the application. If all other requirements had been completed for the application, then the submit button would appear at the top of the application page. With this setting, applicants do not need to worry about returning back to their application to click on the submit button after their recommender has taken action.
- Recommendations Must Be Completed. This means that a recommendation must be both requested by the applicant and completed by the recommender before the recommendation as a requirement of the application is considered complete. Even if all other requirements had been completed for the application, the submit button would not appear at the top of the application page until the recommender had taken action. With this setting, an applicant would need to know to return to their application after their recommender has taken action in order to officially click "Submit" and complete their application submission process.
Study Plan Requirement: For clients using Course Approvals, it is possible to configure a study plan as an application requirement when the program has at least one foreign course associated with it. From the "Study Plan Requirement" drop-down menu, the following options appear:
- No Study Plan Required
- Study Plan Needs to be Submitted
- Study Plan Needs to be Approved
5. Click "Save" to preserve your changes.
Recommendations and the Submit Button
When the submit button is enabled and recommendations are required for a program, then recommendations will always be counted as requirements in the application's progress wheel. A recommendation is considered a completed requirement of an application based on how the "Application Submit Requirement" is configured.
When a recommendation must be requested, then as soon as the applicant submits their recommendation request, the system considers that requirement of the application to be complete. This is reflected as follows:
- Application Page: The recommendation is counted as a completed requirement in the application's progress wheel. If this was the last requirement needing to be completed, then the submit button would appear at the top of the application page.
- Application Page: The recommendation requested date is displayed on the application with an icon that indicates the application has been requested. After the recommender completes their recommendation, then this date will display under the "Date Completed" column on the application page along with an icon that indicates the recommendation has been completed.
- Progress Audit: The recommendation is counted as a completed requirement in the Application Finder's Progress Audit. If there was only one recommendation required for the program, then "1/1" would display in the progress audit to indicate one recommendation of one required was completed.
- Application Admin Manager: The date on which the recommendation as a requirement of the application was completed would appear in the "Submitted" column of the "Requirements" tab of the application in Application Admin Manager.
When a recommendation must be completed, then the applicant must request the recommendation and the recommender must complete the recommendation. After both actions have occurred, then the system will consider that the recommendation requirement of the application is complete. This is reflected as follows:
- Application Page: The recommendation is counted as a completed requirement in the application's progress wheel after the recommender has completed the recommendation. If this was the last requirement needing to be completed, then the submit button would appear at the top of the application page.
- Application Page: The recommendation requested date is displayed on the application with an icon that indicates the application has been requested. After the recommender completes their recommendation, then this date will display under the "Date Completed" column on the application page along with an icon that indicates the recommendation has been completed.
- Progress Audit: The recommendation is counted as a completed requirement in the Application Finder's Progress Audit after the recommender has completed the recommendation. If there was only one recommendation required for the program, then "0/1" would display in the progress audit after the recommendation has been requested by the applicant. After the recommender completes the recommendation, then "1/1" will display.
- Application Admin Manager: The date on which the recommendation as a requirement of the application was completed would reflect the date on which the recommender completed the recommendation. This date would appear in the "Submitted" column of the "Requirements" tab of the application in Application Admin Manager.
Un-submitting an Application
The submit button can only be clicked by an applicant. After an applicant successfully submits their application using the submit button, a notification banner will appear on the admin's view of the application in Application Admin Manager. This banner appears under the header panel noting the date and time of the application submission.
An "Un-submit" button also appears as an option for admins who need to take this action as only an admin can un-submit an application. This will reenable the submit button on the application page without notifying the applicant of the change. If an applicant needs to be notified, use the "Send Email" option in Application Admin Manager.
Frequently Asked Questions
1. Can the Submit Button alert modal be dismissed by an applicant?
An applicant has the ability to click outside of the alert modal, which would cause it to disappear. However, the Submit Button always continues to appear at the top of the application page until it is clicked to submit the application.
