Configuring the Transfer In Request
The transfer in request is an “out-of-the-box” request available on all client sites and can be found in the Request Configuration page. To customize this request to fit the needs of your ISSS office, refer to the “Request Configuration” KB article.
The out-of-the-box request will have the following SEVIS-mapped questions in a questionnaire for both F and J students:
- Transfer Release Date
- School/Campus Name
- School Code
- and the student can leave any remarks
Note: You would need to add additional questions about transferring dependents or document uploads if your office would usually ask that of a transfer in student.
Follow the steps below to apply the transfer in request to the Invited stage (please note that this request must be applied to the invited stage even if the ISSS Admin invites the student after the student documents have been created).
- In the top left corner, click on the hamburger menu, click on Configurations >Configuration Wizard> Invited Stage.
2. Next, select the configuration that you would like to apply the Transfer In request to.
3. Click on tab 3 or the “Location Information” tab (the name of this tab is editable so keep in mind that the name may have changed during initial configuration).
4. Next, click on the “+” button in the bottom right corner of the screen, and select “New Question”.
5. Title the question to what meets your business needs, under “Type”, select “Embed Request”, and in “Subtype”, select “Transfer In”.
This is the questionnaire from the student perspective:
Create Student’s Draft Profile
A. For students who are integrated, use the “Newly Admitted Students” function for your integrated students. This can be found by going to the hamburger menu bar in the top right corner, it is located under “Actions”.
B. For students who are “non-integrated”, you can create a draft profile by clicking on the hamburger menu bar, select “Student List”, and then click on the “+ Create F-1 Student” button. Click here, more information about creating a non-integrated student.
Student Initiated
To have the student initiate the transfer in request, you must invite them to the portal first. For information on how to invite your students to the portal, please refer to this KB: ISSS Student: Granting Students Access to their Student Portal.
The Transfer In request will appear in the student’s “Location tab”, prompting them to click on the “Transfer In” button.
ISSS Admin Initiated
In the student’s profile tab, you will see the “Transfer In” as previously configured. Click on the button to create the “Transfer In” request for the student. It is not necessary to complete the request or the questionnaires. You click on “Save” button if you want to skip over answering the questions.
Processing the Transfer In Request
After the Transfer In request has been initiated either by student or staff, follow the steps below to process the data into SEVIS using RTIC.
- In the student’s profile tab, scroll down to “Program Information” section to type in the student's SEVIS ID.
- Also in the “Program Information” section, next to “Transfer”, click on the toggle from “No” to “Yes”.
3. Next, scroll to the very bottom of the profile page, and click “Save”.
4. Next, click on the “Requests” tab in the student’s profile.
5. Then, next to the “Transfer In” request (not the Create I-20/EV request), click on the “Post Data to RTI” icon. Please note that this action will not be possible until on or after the student’s transfer release date. Also note, you cannot batch a transfer.
6. Next, you will be taken to the student’s SEVIS profile.
7. When you are in the SEVIS profile, click on “Create I-20” or "Create Exchange Visitor".
8. Next, on the top left corner of the screen, you will see a button that says “Post Data to RTI”, and continue to click the “Post Data to RTI” button to pull in all of your student’s information for each page. Below is an example of the I-20 creation:
After you click on the “Submit I-20” button, click on the “Print I-20” button to download the student’s initial I-20 into Terra Dotta. To navigate back to the student’s profile in Terra Dotta, click on the “Back to Student Profile” button in the top right corner.
