Overview
This KB provides an overview of reviewing and processing a request from the Student Request List. The Student Request List is where you, the ISSS Admin, can review and process requests that come in from student submission, the DSO, or coming in from your SIS. Reviewing and Processing a Request from the My Request or All Request Dashboard
Reviewing and processing a request from the My Request and the All Request tabs are identical. Once on the selected dashboard, the ISSS Admin can quickly review information from various columns:
- Student Name
- SEVIS Status
- Org ID
- Education Level
- Request Status
- Request Type
- SEVIS Actions
- Last Modified Date
- Source
- Field Name
- From
- To
Note: If there is an * next to the status in the Request Status column, this request was previously approved and had been apart of a batch but was removed from the batch.
Approving or Dismissing a Request
Each request will exist in its own individual row. If a request is ready to be approved, select the checkbox in the left-most column to process. Multiple requests can be processed at the same time if they are being processed through the same action.
Once the request(s) has been selected, click on the Options button located in the upper left corner of the page. From here, the ISSS Admin can select how to process the request.
There are four options to select from the Options dropdown menu to process a request, the ISSS Admin can take the following actions:
- Email: Email the student selected
- Approve and Create New Batch: Approve the selected request(s) and create a new batch to send to SEVIS.
- Approve and Add to Existing Batch: Approve the selected request(s) and assign to an existing batch to send to SEVIS.
- Approve: Approve the request, but not send the request to SEVIS.
- Dismiss SIS Record: Dismiss the request that has come in from the SIS. Note: Dismiss SIS Record can only be used on requests those source is from the SIS. All other requests can be dismissed with the Dismiss Student Requests option.
- Dismiss Student Requests: Dismiss the request that has come in from the student.
Approving and Creating a New Batch
If selecting to create a new batch, a modal window will appear where the ISSS Admin can leave optional notes.
Approving and Assigning to an Existing Batch
If assigning to an existing batch, a modal window will appear displaying batches that the request can be added to. In the Filter search field, the ISSS Admin can search for an existing batch by name.
Note: if the Request Status has the status of submitted*, this means that this request has been removed from a batch action.
Reviewing and Processing a Request from the Individual Request
The ISSS Admin can also review requests in further detail from the Student Request List. To begin, click on the name of the request under the Request Type column. This is an active link that will open that request in a new window to display all the components of that request.
In the new window, the ISSS Admin can review all the components of that request and the responses from the student or DSO who initiated the request. Scroll through the page to review the request.
SEVIS-Mapped Request
Once ready to process the request, the SEVIS-Mapped request has the following options that the ISSS Admin can take:
- Update: The ISSS Admin can change any of the fields in the request and update, to which they can then return later to approve or dismiss.
- Approve Changes: The ISSS Admin can approve and either assign to an existing batch, create a new batch, or post to RTI.
- Request Clarification: If there is missing or incorrect information, the ISSS Admin can send the request back to the requestor to update.
- Dismiss Changes: The ISSS Admin can dismiss the request.
Non-SEVIS-Mapped Request
Once ready to process the request, the Non-SEVIS-Mapped request has the following options that the ISSS Admin can take:
- Update: The ISSS Admin can change any of the fields in the request and update, to which they can then return later to approve or dismiss.
- Approve Changes: The ISSS Admin can approve the request.
- Request Clarification: If there is missing or incorrect information, the ISSS Admin can send the request back to the requestor to update.
- Dismiss Changes: The ISSS Admin can dismiss the request.
Reviewing and Processing a Request from SIS Changes
Navigating to the SIS Changes tab of the Student Request List, the ISSS Admin can review and process any changes that are coming in from their SIS. Unlike the My Requests and All Requests tabs, these changes cannot be clicked into. The ISSS Admin can review the SIS Changes with the following columns:
- Name
- Status
- Actions
- Org ID
- Created On Date
- Compare
- Field Name
- From
- To
Each action item will appear in it's own row similar to individual requests having their own row in the My/All Requests tabs. SIS Changes are separated by campus site, so the ISSS Admin will need to first select which campus site they would like to review changes coming in from. SIS Changes can further be filtered down by SEVIS Status and Action Type.
Dismissing or Snoozing from the Comparison Window
Clicking on the arrows button in the Compare column will have a comparison window with the SIS data present information and new information.
From the comparison screen, the ISSS Admin can select the individual SIS data in the checkboxes in the left-most column and click on the Actions button. The ISSS Admin can then dismiss the data or snooze to process at a later time.
Processing SIS Data Changes
Once ready to process, select the checkbox(es) next to the SIS Changes that the ISSS Admin would like to process. The ISSS Admin can also select all SEVIS requests or all Non-SEVIS requests.
Once SIS Changes have been selected, click on the Actions button.
The ISSS Admin can take the following actions:
- Email: Email students about the SIS Changes.
- Create Request
- Dismiss: The ISSS Admin can dismiss the changes coming in from the SIS
- Approve and Create Batch: Create a new batch for multiple SIS Changes
- Approve and Add to Existing Batch: Assign to an existing batch
- Dismiss: Dismiss the SIS data
- Snooze: Process the SIS data at a later time
- Update Student Data: If data does not need to be sent to SEVIS, approve and update the student profile
