This Knowledgebase Article reviews the process of SEVIS Registration for F-1 students in ISSS Student.
- Create a Report using Analytics
- Navigate to SEVIS Registration and Select Report
- Select Change of Level Students to Register
- Select Students to Register
- Navigate to Registration Form
- Register and Send to SEVIS
Create a Report using Analytics
To use the SEVIS Registration tool found under the Actions tab of the Hamburger menu, the ISSS Admin will first need to use Analytics to create a query, run a report, and save that meets your criteria. Begin by navigating to SEVIS Admin > ISSS Student > Actions > Analytics and then select the Plus button located in the bottom right corner of the screen.
For more information on running a query and report in Analytics, check out the Knowledgebase Article here on Analytics. Follow the steps below to create a query and then run a report:
- Add Title and description while selecting the Product - ISSS and Data Source - Incoming Students
- Move to the Fields tab and identify the fields the ISSS Admin wants to include. Note: you will need to include the following fields:
- User ID
- First Name
- Last Name
- Program Start Date
- Program End Date
- Education Level
- U.S. Physical Address
- SEVIS ID
- The Filters tab adds any needed filters on the fields selected from the Fields area.
- Share Options tab is where the ISSS Admin is able to save/share to SEVIS Registration page.
- Once the query has been saved and run, click on create report in the upper right corner of the screen to run a report.
Note: In order to register students, they must have a User ID and a SEVIS ID and be in either active or initial SEVIS status.
Here ISSS Admin should be able to build queries that allow them to break their populations down however they need to. Some examples of queries to run include:
- SEVIS status of ACTIVE with program end date in the future.
- All Active SEVIS Status Masters and Doctoral students with program end date in the future.
Navigate to SEVIS Registration and Select Report
Once the report in Analytics has been defined and saved, go to Actions > SEVIS Registration. From here pick the saved report previously created by clicking on the Select Saved Report button located in the upper right corner of the page. The report will load the students into the list.
The ISSS Admins also have the option to filter the students by Campus Site as well as search for a particular student in the Search by Name field.
If no report is selected, students who are in Initial SEVIS Status will appear as well as students in Active SEVIS Status that need to be re-registered.
Note: Admins can configure which columns display by clicking the cog in the upper righthand corner of the page, and selecting/deselecting the appropriate fields from the dropdown menu:
Select Change of Level Students to Register
Before loading a report, the ISSS Admins also have the option to filter the students with a change of level on their profile. The ISSS Admin should select the Show Change of Level toggle on the SEVIS registration page to only see change of level student. Please keep in mind that once you load a report, it will show all students that qualify for that report, even the change of level.
From this list the ISSS Admin should select the students they believe are eligible to register and select next to navigate to the registration form.
Select Students to Register
Once the list of students loads into the list from the selected report, select which students or all students to register by clicking on the checkbox in the left-most column.
Navigate to Registration Form
After selecting the students to register, scroll down to the bottom of the page, and click Next. This will bring the ISSS Admin to the Registration Form step.
From here, the ISSS Admin can fill in the information that will apply to all the students that were previously selected. The ISSS Admin can provide information on the following, anything marked with * is required:
- Is the student in the last session of his/her program?
- Study/Research Abroad?
- Thesis/Dissertation
- Current Session Start Date*
- Current Session End Date*
- Next Session Start Date* (This can be left blank if its indicated that student is in last session of program)
- Remarks (300 character limit)
- US Address Override Code
- US Address Override Remarks
- Return Document checkbox.
Register and Send to SEVIS
The ISSS Admin will have two options to send this information to SEVIS, by either selecting the Register Student and Batch or Register Student and Post to RTI. If selecting a batch, the ISSS Admin has the option to either create a new batch or assign it to an existing batch. The ISSS Admin can also create and add Batch Notes when creating batches to provide a description of what's in the batch or to give the batch a name that will be visible on the Batch Manager page. Once one of these options have been selected, the students will be successfully registered.
When using the registration tool to add students to a batch en masse, the "Batch actions with errors" modal will appear to notify the admin which students were not added to the batch:
Note: Generating a batch can take up to 15 minutes, as the system is working to validate each record individually.
