Before Going to SEVIS Settings
Before an ARO or DSO can begin using ISSS Student to batch J exchange visitor or F/M student update records, they must be added as A/ROs or P/DSOs to the SEVIS Settings by the PDSO/RO.
In order to give an ARO or DSO SEVIS permissions in ISSS Student, they will need to be added to the Facilitators group. To verify their permissions, go to Staff>Staff Permissions, and add the person to the Facilitators group. After this step is complete, you can add them as an ARO or DSO. Note that on the campus or program listing on the SEVIS Admin > ISSS Student> SEVIS Settings page, the PDSO or RO is listed in the header along with the SEVIS School Code or Program Number.
SEVIS Assistants can be added in the SEVIS Assistants Privileges menu option. For more information on adding SEVIS Assistants, see this Knowledgebase article.
Add Alternate/Responsible Officers & Primary/Designated School Officials
- Navigate to SEVIS Admin > ISSS Student > Configuration > SEVIS Settings.
- Click Add for the SEVIS School or Program Code. Select Officer from the drop-down menu.
- A pop-up window will appear where you will configure the following items to add the new ARO or DSO:
- Available admins - This will give the option of all staff members in the Facilitator group that have not already been added to the campus site or program.
- SEVIS User ID - Enter the SEVIS User ID (e.g., jsmith6756).
- Click Add
Remove Alternate/Responsible Officers & Primary/Designated School Officials
If the DSO/ARO has EVER sent a batch to SEVIS via the Student Request List, their information cannot be removed from the Settings tab of the SEVIS Admin. Admin can Deactivate a DSO/ARO by clicking the Deactivate button just to the right. Once deactivated, the DSO/ARO will; go to the bottom of the list of officials within that campus site or program number.
If an Alternate/Responsible Officers & Primary/Designated School Officials Returns
If the DSO/ARO that had previously been removed from the SEVIS Settings has returned and needs to have access to batching to SEVIS via the Student Request List, their previous staff permission can be reinstated.
To reactivate their SEVIS permissions, locate the account within the campus site list, all deactivated accounts will be at the bottom of the list. To the right of the DSO/ARO, click on the reactivate button.
Configuring the Unique Institutional ID Number
To select the custom field to be used as the unique institutional ID number, scroll to the bottom of the SEVIS Settings page to get to the Module Options section. From this section, the ISSS Admin can select the parameter that their office would like to use at the unique institution ID number. Select the Choose Parameter button.
After clicking the button, a new modal window will appear with a dropdown menu of available custom field parameters to select from. Select from the list and click update to save.
Default Address Override
To select a default address override reason, scroll down to the bottom of the SEVIS Settings page to get to the Module Options section. From this section, click on the Address Override button.
A new modal window will appear after clicking the Address Override button. From this window, select the dropdown menu to select the reason for the address override. Click Update.
