Study Abroad: Stock Report: Permissions (Classic)

The Permissions stock report is a function that allows an admin user to select specific site permission groups and then export a report of every user who is included in one (or more) of those groups (including custom permission groups). The export will include a list of all of the individual permissions and, if granted to the user, will designate the level at which the permission is assigned (group or individual). The report will also show any data access object (DAO) restrictions assigned to a user and the last time the user was active on the site.

This is designed to allow for an easy way to audit all permissioned users on your site.

Self-service stock reports can be accessed from the "My Queries and Reports" panel of the Admin Home Page. Click the "Stock Reports" file icon for an expanded list of any reports installed. A "Browse TDCL" button appears, allowing clients to browse and import stock reports independently. Once installed, the report (Permission Report) will be available in the "Stock Reports" section and accessible by administrators with the following permissions:

  • Applicant Admin: Stock Reports
  • Staff Admin: Staff Permissions (view)

After clicking on the name of the stock report, the admin will be taken to a page where they can select the individual permission group or permission groups they wish to report.

An Excel file will then be generated with the following data columns populated for the users included in those groups. Each user will be included in the file only once regardless of the number of groups they are in:

  • First Name 
  • Last Name 
  • Email Address
  • User ID
  • Last Activity Date (last login/administrative action) - Note: This information is purged after two months, meaning a NULL value here means the user has either never logged in or they have not logged in within the last two months.
  • Permission Group (pipe-separated if multiple)
  • Column for each site permission
  • Column for each data access object restriction

This is a stock report, and the data columns included in the report are pre-defined. If you require additional data columns in the report, we can make adjustments as a professional service for a fee.
