The reporting wizard of the software allows you to produce reports and exports of applications that include responses to question items. However, this wizard only allows the admin to select question items that are in the current version of the questionnaire. If a question item had been in a prior version of the questionnaire during previous application cycles and then had that question item removed, the question item will not appear in the reporting wizard.
Should you require an export of the responses to a question item that is no longer used in a questionnaire, this process can be used to get a data export:
- Go to Process > Questionnaires and click to edit the questionnaire you need to report on
- Click on the question item folder that contains the necessary question item
- Check the question item (to include it in the questionnaire)
- Click to update the questionnaire, but do not deploy the questionnaire version you are creating to any of the process maps
- Go to Application Admin and run the reports required - the question items you need will now appear in the report wizard's form
- Return to Process > Questionnaires and click to edit the questionnaire again
- Remove the question items that should no longer be in the questionnaire
- Click to update the questionnaire - it is recommended (but not necessary) to update the process maps with this new version to prevent confusion when reviewing process maps at a later time
Note: If the question item you need to report on has been retired, it will be necessary to re-instate the question item before you are able to add it back into the questionnaire.
