This article provides guidance for managing data within Terra Dotta ISSS when a terminated or completed F/M/J student or scholar returns to your institution with a new SEVIS ID.
Occasionally, a student or scholar with a completed or terminated SEVIS record must obtain a new Initial Form I-20 or DS2019 from your institution, for the purpose of obtaining a new visa abroad and returning to the U.S. with the new visa and document. It is important to retain historic data while at the same time easily creating a new initial document to support the visa application and return to the U.S.
Follow these steps to correctly create a new record in Terra Dotta ISSS:
- Add a profile comment to the profile with the previous SEVIS ID and a brief note explaining the student's situation to preserve the historic data.
- Remove the previous SEVIS ID from the existing profile. Do this by going to the Terra Dotta profile and looking under the Information tab.
- Use the Add Student or Add EV activity to create the student or EV as an Existing student or EV (not New).
- Choose Integrated or Non-integrated based on whether the student/EV will be integrated in your SIS, and refreshed in the nightly SIS Refresh.
- Complete the process to create the new Initial I-20 or DS-2019 with your preferred method (Post to RTI or via SEVIS batching).
