This article outlines the steps to edit a previously authorized Drop Below Full Courseload request in the SEVIS batch.
- Step 1: Find Reduced Courseload Record
- Step 2: Review SEVIS-Required Data
- Step 3: Create SEVIS Update Record
Step 1: Find Reduced Courseload Record
- Navigate to Record > Search.
- Type in the name of the student whose Drop Below Full Courseload record you would like to edit in SEVIS.
- The student's Request Authorization for Reduced Courseload (F/M) record should display when you search for their name.
Step 2: Review SEVIS-Required Data
SEVIS Admin clients may configure their site to either:
- Allow students to edit SEVIS-mapped Question Items for their Drop Below Full Courseload Request, or
- Edit the questionnaire to remove it from the student view for the Request Authorization for Reduced Courseload (F/M) record.
- By removing it from the student view, only Admins can complete the question items. To do this, go to:
- Process > Questionnaires > Drop Below Full Courseload Request > Click the edit icon > Select Yes to Is this an internal-use questionnaire? > Update
- Select the checkbox to the left of the Application Cycle(s) to assign the questionnaire to > Select Apply.
Depending on how your site is configured, Admins should review, edit, or complete the required SEVIS-mapped Question Items in the user's record:
- Reason for Drop Below Full Courseload - this is the reason that was already batched to SEVIS (do not edit)
- Start Date - this is the start date that was already batched to SEVIS (do not edit)
- End Date - this is the end date that was already batched to SEVIS (do not edit)
- Remarks - these are the remarks that were already batched to SEVIS (can be replaced with a remark related to the Edit)
- New Reason for Drop Below Full Courseload - this is the edited reason that will be batched to SEVIS
- New Start Date - this is the edited start date that will be batched to SEVIS
- New End Date - this is the edited end date that will be batched to SEVIS
Step 3: Create SEVIS Update Record
When all fields are complete, you will create a SEVIS Update Record. For instructions on how to do this, see SEVIS Admin: Creating a SEVIS Update Record.
The SEVIS Admin Action you will select from the drop-down is Authorize Drop Below Full Courseload: Edit.
