ISSS Scholar: Out-of-the-Box Email Templates

This article reviews configuring email templates specifically for Scholars.

After the email templates are configured, your scholars and stakeholders will receive custom communications created by the ISSS office at critical points in the scholar process, tailored with personal information similar to a mail merge.

Accessing Email Templates

Access and configure email templates via Configuration > Email Templates from the hamburger menu in the upper left corner.. Below is a list of all email notification templates. Note: It is recommended that you review the following templates marked with * to determine your business process and need to edit:

  • Bulk Scholar Import Notification*: Bulk Scholar Import Notification.
  • H-1B Amendment processing notice for Scholar*: Sent to the scholar when an ISSS admin started processing their H-1B amendment.
  • H-1B Amendment processing notice for department admin*: Sent to the department when an ISSS admin started processing the H-1B amendment for scholar for their department.
  • H-1B Expiration Alert*: Sent to the ISSS admin when scholar(s) might be needing the H-1B extension.
  • H-1B Expiration Notice for Scholar*: Sent to the scholar when a scholar might be needing the H-1B extension.
  • H-1B Expiration Notice for Department Admin*: Sent to the department when a scholar might be needing the H-1B extension.
  • Ineligible Sponsorship Request*: Sent to the department admin when an ISSS admin marks a request ineligible.
  • New Department Admin Account Creation Email*: Sent to the configured email address when a new department admin profile is created in the account.
  • New Scholar Account Creation Email*: Sent to the configured email address when a new scholar profile is created in the account.
  • New Scholar Notification*: Sent to the ISSS admin when a new scholar profile is created in the account.
  • New Scholar Profile Notification for ISSS Admin*: New scholar profile created notification template for ISSS Admin.
  • New staff login information*
  • Non-Degree Scholar Welcome: Sent to the configured email address when a new non-degree seeking student profile is created in the account.
  • Reminder Notification for Approver*: Reminder Notification sent to the approver to complete the new sponsorship request approval process.
  • Request Resubmit Notification for Approver*: Request Resubmit notification sent to the approver.
  • Request Withdrawn Notification for Approver*: Request withdrawn notification sent to the approver.
  • Review Sponsorship Request Notification for Approver*: Sent to the Approver to review the newly created sponsorship request.
  • Scholar Password Reset*: Sent to the configured email address when a user requests a new temporary password.
  • Sponsorship Request Approved*: Sent to the department admin when an admin approves a sponsorship request for a scholar.
  • Un-received File*: Sent to the scholar when an admin un-receives a file in the application.
