The OneStep registration form can be configured to allow proxy registrations. A proxy registration is a way to allow one person to submit travel plans on behalf of another person. It is not necessary for the person submitting the travel plans to be given full administrative access in the Terra Dotta site if this feature is enabled. To configure your OneStep form to allow proxy registrations, go to Programs > Search, find the appropriate program, click the edit pencil icon and then click the 'OneStep' tab.
Check the box next to 'Enable proxy OneStep registration for this program' and the additional information seen in the screenshot below will appear.
1. This setting must be enabled in order for this OneStep registration process to allow proxy registrations.
2. Use this code to create an access button for the proxy admin to use to submit registrations on behalf of others. They can access the proxy registration form by clicking the button or by using the URL in the code. For example, if your site domain is http://studyabroad.terradotta.com/ you can add the section of the button code that is highlighted to create a link that can be sent directly to the proxy:
http://studyabroad.terradotta.com/index.cfm?FuseAction=OneStep.ProxyApply&Program_ID=10148
3. Determine whether the proxy should be logged out after submitting a registration or if they should not be logged out, but instead be routed to their applicant or admin homepage.
4. If you would like this registration to be open to anyone to submit proxy registrations, check this box. This will permit anyone with the access link/button to create registrations for other people. Please note that opening the registration in this way means no permission or admin user record is required in order to submit proxy registrations.
5. If you do not open the proxy registrations to everyone, you will need to select a permission group that will have the ability to submit proxy registrations. Anyone who should be able to submit proxy registrations or this program will need to be a member of that permission group. Only one group can be selected for each OneStep form. Anyone who is in that permission group will be able to submit proxy registrations after receiving the access button/link.
How to submit a proxy registration
Once the proxy feature has been enabled/configured, a proxy can access the form. They will land on a page where they will search for the traveler either through the SIS/HR database or through the manual entry option. On the next page, the proxy will see the OneStep registration form and be asked to complete all the requirements on behalf of the other person. After submitting the form, the proxy and the traveler will receive confirmation emails.
