Important Note: This article discusses classic functionality. For information on the modern applicant experience, refer to the Applicant Experience Knowledgebase article.
An advising application is an application started by applicants who want to get additional information before applying to a specific program. Staff members use advising applications to gather information about the interest of the applicant and their academic background in order to help guide their decision. Advising applications can be required, optional, or turned off completely. Advising applications are not or program or application cycle specific. Be sure to refer to our article on Managing Advising Information for more information on how advising applications are deployed.
You can also create an advising application by going to Applicant > New Application and clicking the "Create New Advising Application for Student" tab.
The Advising Application can be used for two purposes:
- Applicants who are unsure of which program to apply to, can create an Advising Application and begin answering questions for guidance on the program that best suits their needs.
- The office may choose to examine all applicants through an advising process before they are allowed to apply for a program. The office does the examination using the Advising Application. Once the advising process is complete and the applicant selects a program, the staff can convert the advising application to the program application for the applicant.
Creating a Link to an Advising Application
This will allow an applicant to start an advising application and complete any advising process elements without going through the program brochure page:
-
Access Settings > System Features > Enable Advising Applications. Make sure the checkbox is marked off.
-
Access Site > Site Builder >Link Content > Create New Link (or choose to edit an existing content page)
-
Insert a hyperlink by selecting the link in the WYSIWYG editor toolbar and enter the following URL preceded by your home page URL.
Note: Applicants with a program application on file cannot be prevented from starting an additional advising application. Advising applications do not have a year/term assigned to them, therefore, using the system feature of 'Limit number of applications to accept per student per term' does not include advising applications.
The only way to stop applicants from creating advising applications is by turning off the ability to create advising applications for the whole system.
