Add Alternate/Responsible Officers & Primary/Designated School Officials
Before an ARO or DSO can begin using the SEVIS Admin to batch J exchange visitor or F/M student update records, they must be added as A/ROs or P/DSOs to the SEVIS Admin by the PDSO/RO.
If the ARO or DSO has not already been added as a Facilitator, they will not see the SEVIS Admin information in their black Navigation bar on the Terra Dotta page. For this to become visible you will need to add their name to the Admin profile list before proceeding. To verify their permissions, go to Staff Admin > New Staff Member, and add them as an Admin under the Facilitators group. After this step is complete, you can add them as an ARO or DSO. Note that on the campus or program listing on the SEVIS Admin > Settings page, the PDSO or RO is listed in the header along with the SEVIS School Code or Program Number.
- Navigate to SEVIS Admin > Settings.
- Click Add for the SEVIS School or Program Code. Select Officer from the drop-down menu.
- A pop-up window will appear where you will configure the following items to add the new ARO or DSO:
- Available admins - This should give the option of all staff members in the Facilitator group that have not already been added to the campus site or program.
- SEVIS User ID - Enter the SEVIS User ID (e.g., jsmith6756).
- Click Add
Remove Alternate/Responsible Officers & Primary/Designated School Officials
If the DSO/ARO has EVER sent a batch to SEVIS via the SEVIS Admin, their information cannot be removed from the Settings tab of the SEVIS Admin. Admin can Deactivate a DSO/ARO by clicking the Deactivate button just to the right. Once deactivated, the DSO/ARO should go to the bottom of the list of officials within that campus site or program number.
To disable the DSO/ARO from accessing the SEVIS Admin or user records, you must edit their permissions in Terra Dotta. After they have been removed from the Facilitators group, they can no longer access the SEVIS Admin dropdown menu in the black navigation bar.

Assistants
ISSS incorporates the ability to add an assistant. Assistants do not have associated SEVIS user IDs, so cannot make changes to send to SEVIS. Adding and deactivating assistants is done in the same manner as adding and deactivating officers.
PDSOs and ROs may permit assistants to add documents from the SEVIS Profile, to add comments from the SEVIS Profile, and to view batch document downloads.
PDSOs and ROs can manage settings for assistants in Settings > Configuration Options > Assistants. Settings are categorized under F-M and J campuses.
Note, that assistants (who are by definition not AROs or DSOs) may view returned SEVIS documents by going to the downloaded SEVIS update and viewing the attachment/s there.
Note: Terra Dotta does not share the same privilege structure as the SEVIS Profile. Therefore:
- Shared queries will expose data for other campuses.
- An assistant or officer can still view data for users belonging to other campuses by using Terra Dotta.
