This article provides basic information about the layout and functions of the SEVIS Admin menu of the SEVIS Admin:

Pending Updates
All pending SEVIS update records are managed from this display. Here, SEVIS Admins can:
- View and filter update records by Name, Visa, Actions, Doc (to be returned in the download), Officer, School, Last (date) Changed, Verified and Batch ID (if assigned to a batch).
- Review SEVIS update records prior to placing them in a SEVIS batch.
- Verify data in SEVIS records.
- Search for pending update records.
Clicking on the linked name will bring you to the SEVIS Update Record where you can review specific data, go to the linked Terra Dotta profile, edit the DSO/ARO assigned to the update record or re-verify data. You can also remove the update information or add another action to this updated record.
Batch Uploads
All pending and uploaded SEVIS batches are managed from this display. Here, SEVIS Admins can:
- View specific batch information, such as Batch ID #, Current Status, # of Update Records, School ID, Org ID and Actions.
- Review SEVIS batches that have not yet been sent to SEVIS for processing and update records prior to placing them in a SEVIS batch.
- Search for batches based on specific criteria entered into the Search field.
- View a list of update records by clicking the View button.
- View or print a list of update records in the batch by clicking the Print button.
- View the XML test string by clicking the Test button.
- Edit the School ID display name assigned to the batch by clicking the Edit button.
- Clicking the red X will remove the batch from the batch display, retire the batch ID permanently and return the update record individually back to the Pending Updates display.
- If there is an error with the upload, the error message Transmitted - error returned will display under the Current Status column.
- Upload SEVIS batches to SEVIS by clicking the UP arrow icon.
- View SEVIS batch upload status by viewing the arrow icon. The arrow, when displaying as a blue UP arrow, indicates that the batch has not yet been sent to SEVIS, or it has been sent and not yet received by SEVIS. After SEVIS has accepted the batch for processing, the blue UP arrow icon will change to a green DOWN arrow icon.
- Download SEVIS batches from SEVIS the following business day by clicking the green DOWN arrow icon. After a batch has been successfully downloaded, it will move into the Batch Downloads display.
Batch Downloads
All successfully downloaded SEVIS batches are managed from this display. Here, SEVIS Admins can:
- View specific batch information such as Batch ID #, Date Uploaded, # of Update Records, School ID, Org ID, Errors and Documents.
- Review downloaded SEVIS batches.
- View a list of downloaded update records for a specific batch by clicking the View button.
- View or print a list of downloaded update records in the batch by clicking the Print button.
- View the XML test string by clicking the Test button.
- View and examine specific information about SEVIS errors by clicking on the View button in the Errors Column.
- Search for batches based on specific criteria entered into the Search field.
Completed Updates
All completed SEVIS update records are managed from the Completed Updates display. Here, SEVIS Admins can:
- View and filter update records by Name, Batch #, Form, Processed, Actions, Action Created, Action Batched and Batch Downloaded.
- Review processed SEVIS batch update records. If the batch was processed, you will see a green check mark. If the batch experienced an error, you will see a red X.
- Search for completed update records
Clicking on the linked name will bring you to the SEVIS Update Record where you can review specific data and go to the linked Terra Dotta profile. Note: after the batch has downloaded, Admins can no longer edit the DSO/ARO assigned to the update record, re-verify data, remove the update information from the update record or add another action to the update record.
Activities
The Activities Panel helps you access your most-needed data and provides shortcuts to completing the tasks you perform most often.
In the Students section, the buttons permit you to:
- Generate Newly Admitted Students: This tool is only available on sites connected with a SIS integration. Easily identify newly admitted students from the SIS file and create new user records associated with shell AO records.
- Add Student: Simultaneously create a user profile and an Academic Objective record for a new F/M student that you can then batch to SEVIS as Create Student updates.
- Request Initial I-20s: Create I-20s for a group of students at one time, applying common information, then batch to SEVIS as Create Student updates.
- Generate Registration Records: Use an existing report to generate mass SEVIS registration updates.
In the Exchange Visitors section, the buttons permit you to:
- Generate Newly Admitted Exchange Visitors: This tool is only available on sites connected with a SIS integration. Easily identify newly admitted EVs from the SIS file and create new user records associated with shell AO records.
- Add Exchange Visitor: Simultaneously create a user profile and an Academic Objective record for a new Exchange Visitor that you can then batch to SEVIS as Create EV update.
- Request Initial DS-2019s: Create DS-2019s for a group of individuals at one time, applying common information, then batch to SEVIS as Create EV updates.
- Generate Validate Records: Use an existing report to generate mass SEVIS validation updates.
In the Templates section, the buttons permit you to:
- Add Templates: Generate and save a new template for future use based on one of these four activity types: Add Student, Add EV, Request Initial I-20 and Request Initial DS-2019.
- Manage Templates: Filter through your custom templates by Template Name, Template Description, Date Modified and Action (edit or delete).
- Export Templates: Download an Excel file containing all existing templates and each of their data fields (populated or not) for any of the four activity types.
- Import Templates: Select an Excel file to upload with data that can be used to populate and create templates.
In the SEVIS Change Manager section, you can:
- On date: View a data table of changed data based from a specific date.
- Since Date: View a data table of changed data that has occurred on or after a specified date.
- Date Range: View a data table of changed data based on a range of dates.
Reports
The Dashboard section displays dynamic information for the following groups of records:
- Draft Status Records
- Initial Status AO Records (Academic Objective refers to SEVIS records)
- Active Status AO Records
- Active Records in Last 12 Months
- Pending Check-ins
- Pending Batch Records
The Data Analysis section allows you to access all the Statistical Analysis reports introduced in the Spring 2019 ISSS release.
The Travel Summary section allows you to access the Travel Summary lists for F/M and J visa types including information such as Visa issuance and I-901 fee payment.
The Program Alerts section allows you to:
- Search a specified range of program start dates for F/M and J visa types.
- Search a specified range of program end dates for F/M and J visa types.
The Status End Date section displays alerts for the following groups of records:
- F/M/J Visas: 90 days prior to program end date
- F/M/J Visas: 30 days prior to program end date
- F/M/J Visas: 7 days prior to program end date
- F/M/J Visas: PAST program end date
RTI Connect
RTI Connect gives you direct access to SEVIS RTI and provides shortcuts with the use of the following dashboard features:
- Default Campus: This setting indicates the default campus for the currently logged-in user. The default campus can be changed by clicking the yellow edit pencil.
- Launch RTI Connect: Use this portal for direct access to SEVIS RTI. Log in with your SEVIS user ID and password.
- Current RTI Downloads: Check the progress of a download that is in active process.
- SEVIS Lists: View SEVIS data through RTI Connect and download the following lists for viewing and import:
F/M Students:
- F/M Visas
- Active Status Students
- Initial Status Students
- Student Listing (all)
- Terminated Status Students (past 18 months)
- Completed Status Students (past 18 months)
- Canceled Status Students (past 18 months)
- Students With Curricular Practical Training (CPT)
- Students With Requested, Pending, or Approved Optional Practical Training (OPT)
- Students Transferring In
- Students Transferring Out
- Students with Post-Completion or STEM OPT - Portal Account Status
J Exchange Visitors:
- J Visa
- Active Status Exchange Visitors and Dependents
- Initial Status Exchange Visitors and Dependents
- All Exchange Visitors and Dependents
- Terminated Exchange Visitors and Dependents
- Inactive Exchange Visitors and Dependents
- Invalid Exchange Visitors and Dependents
- No Show Status Exchange Visitors and Dependents
- Transferred (Out) Status Exchange Visitors and Dependents
- Transferred In Exchange Visitors and Dependents
- Exchange Visitors with Student Academic Training
- Exchange Visitors with Student Employment: Current and Future
Users cannot download every list in SEVIS. Attempting to download a list that is not yet supported in RTI Connect will result in errors.
Clicking on Student Lists will take you directly to the selected list if you are actively logged in to SEVIS through RTI Connect.

In the Downloaded Lists and Alerts section, users can select a downloaded report to view by selecting visa type, then report type, then report date.
In the Search section, users can find specific records that meet a set of criteria for visa type, report type, and comparison status, or that were downloaded on a specific date or between specific dates.
Settings
General Configuration
This is the menu where SEVIS Admins can add and remove:
- DHS School Codes (F/M/J campuses and programs)
- Primary/Designated School Officials and Alternate/Responsible Officers as well as Assistant privileges. For further information on Assistant privileges, see Staff Permissions and the SEVIS Admin.
- Blanket Address Doctor Override Reasons
- Unique Student ID OmniSearch
- Default Request Reinstatement Tags
- SIS Data Overwrite for Bulk User Edits
SEVIS Mappings
In this display, SEVIS Admins can view and verify the data being identified and transmitted by the SEVIS Admin when generating batch updates that are sent to SEVIS.
SEVIS Mappings - Programs
In this display, SEVIS Admins can view and verify the programs that are mapped to specific SEVIS update records when new update records are created.
SEVIS Alerts
In this display, SEVIS Admins can view and set the SEVIS Alerts which align with the alerts in SEVIS RTI, and associate them with workflows to address critical deadlines.
Settings Inspector
In this display, Terra Dotta Client Support Specialists can review and verify the settings that impact your SEVIS batching. These include the following:
- General: Metadata related to SEVIS, such as SEVIS site, URL and batch version.
- FTP: SEVIS Link server details.
- Sites: SEVIS school codes and program IDs with associate details and date last verified.
- DCM: Triggers that can be enabled so that SIS integrated student data updates can automatically create appropriate updated actions for batch delivery to SEVIS.
- Lookups: Tables of predefined data that you can attach to SEVIS mapped elements. These include Applicant Parameters, Questionnaire Items and Country Codes.
- Dispos/Regs: Internal information tables that identify SEVIS disposition (return or error codes) and how they connect to Regulatory Rules (code equivalents to validation to prevent these errors).
- Mappings: Key mappable elements specific to meeting SEVIS' needs.
