In preparation to batch F/M student records and J Exchange Visitor records, the relevant SEVIS school code/s and/or program number must be added.
- Navigate to SEVIS Admin > Settings.
- Under General Configuration, DHS School Codes, click Add New School.
- A pop-up window will appear where you configure the following items to add the new school or program:
School Label - Enter the name of the school or program as you wish it to appear - for example, Terra Dotta College - F Program. It is useful to distinguish between your F/M and J programs within this label.
- Campus/Program ID - Enter the SEVIS school code (e.g., ATL214F56670000) or program number (e.g., P-1-99000), taking care not to insert additional spaces.
- Visa Types this New SEVIS School Supports: Select student (F-M) or exchange visitor (J) from the drop-down box.
- PDSO Credentials (or RO Credentials on J Program): Select the correct staff member from the drop-down (links to users in the Facilitators group) and enter that user's SEVIS userID. The PDSO/RO will be indicated for each campus listing on the SEVIS Admin > Settings page.
- Starting Batch ID # - SEVIS maintains unique batch IDs for each OrgID that batches to SEVIS in both test and production. If your school has batched before, select a higher number. If your school has never batched to SEVIS before, you may select a lower number.
- Make default for batch - Many schools will batch more often for one particular school code; for example, a campus that hosts 2,000 F-1 students but just 100 J-1 students will batch for F-1 students more frequently. If the information that you entered in #2 is for the school program that you will use most often for batching, select yes here. If the information that you entered in #2 is for the program that will be used less frequently, leave the default selection as no.
- Certificate - Enter the name of your batch certificate (for example, jsmith6544.pem). NOTE: During implementation or when you renew your certificate, you will be instructed on what you should enter in this field.
- Certificate password - Enter the batch certificate password that you set when you converted the certificate from a .p12 file to a .pem file. Retain the password in a safe, accessible location, as you may need it for SEVIS Admin configuration.
- Click Add to complete the school code/program addition.
Note, Terra Dotta does not share the same privilege structure as SEVIS Profile. Therefore:
- Shared queries will still expose data for other campuses.
- An assistant/officer can still view data for users belonging to other campuses by using Terra Dotta.
