This article outlines the steps to upload a batch to SEVIS.
After you have created a SEVIS update record, you may add it to a batch to be sent to SEVIS for processing. SEVIS processes batches overnight. Downloads are available the next business day. Need to create a SEVIS update record? See SEVIS Admin: Creating a SEVIS Update Record.
Batch Upload
Batch upload information displays in the SEVIS Admin in Batch Uploads. After you successfully verify your update records, you may assign them to a batch. After you have assigned SEVIS update record/s to a batch, you will send the batch to SEVIS by clicking on the tab for Batch Uploads (#2 in the image above).
Clicking on the top-left dropdown menu (below, labeled Terra Dotta College - Alpha) will permit you to select any campus site or program associated with your site to review the batches for upload.
Further important details contained on the Batch Uploads page is explained below.
- The number of batches in this display.
- Search for a batch in Batch Uploads by entering any display data.
- The number of pages of batches in the display
- Batch ID: The batch ID. Note that events are grouped into batches by OrgID.

Current status: The transmission status of the batch listed in each column:
- Transmitted - Awaiting Download: SEVIS has processed this batch and it is ready for you to download.
- Pending Transmission - this batch has not yet been uploaded to SEVIS. The date that the batch was created ("Scheduled") is indicated here.
- Transmitted - Awaiting Confirmation - The batch was uploaded and is waiting for confirmation from SEVIS that it has been added to the SEVIS batch processing queue.
- Transmitted - Error Returned - SEVIS has indicated it is unable to process this batch.
- Sort: Click this icon to sort this column alphabetically. Click again to reverse the sort order .
- # of Update records: the number of update records included in each batch
- School ID: The name of the school associated with the student or scholar SEVIS OrgID (e.g., the displayed name for the J or F/M program, P-1-16645, or ATL214F14567000)
- Org ID: The SEVIS OrgID associated the school associated with the student or scholar (e.g., P-1-16645, or ATL214F14567000)

Actions: The action that you can take, or may take, on a listed batch:
- Blue up arrow: click this icon to upload the associated batch to SEVIS
- Green down arrow: click this icon to download a batch after SEVIS has completed processing.
- Red X: The batch has failed to upload. You may wish to delete the batch by clicking the red X. The associated update events will NOT be deleted; they will be unassociated from the batch.
- View: click to see the names and actions for each SEVIS update record contained in the batch in a popup window. You may also remove records from the batch in the display window that pops up, or go to the associated SEVIS update record.
- Print: view a list of actions contained in the batch.
- Test: view the SEVIS code that will be sent to SEVIS in this batch.
- Edit: change the school code associated with the batch.
Clicking on the blue up arrow will display the window below:
Click Send Batch to SEVIS. If you do not wish to send the batch to SEVIS, click Close.
Download the Batch
The following business day, after you have uploaded the batch, you may return to the Batch Uploads tab and click the green down arrow to see the following window:
If you do not wish to download the SEVIS batch, click close. If you click Request Download, the following message will display within the same window as the batch downloads:

When complete, click close. You may now review your batches in SEVIS Admin: Batch Download and Completed Updates.
