Overview
This article outlines the steps to download a batch from SEVIS after it has been successfully processed.
After you have uploaded a SEVIS batch, SEVIS will process the batch overnight. Downloads are available the next business day in SEVIS Production.
If you are testing in a Terra Dotta sandbox with a SEVIS beta site, downloads will be available after approximately 20 minutes on regular business days.
The Batch Download Process
Batch downloads are possible only after SEVIS has successfully processed them. (See the Batch Uploads SEVIS Admin: Batch Upload for additional reference).
Batches may be downloaded from the Batch Downloads display of the SEVIS Admin by one of two methods:
Automatically
Clicking the Batch Downloads tab will automatically begin the download of every SEVIS batch already processed by SEVIS. (Note that batches never automatically upload from Terra Dotta to SEVIS.) A message will display to confirm that your batches are downloading in the background.
You may access your downloaded batches as soon as the download process is complete.
Manually
You may download your batch, individually and manually, by clicking the green down arrow in Batch Uploads. This action will download the batch and make it available in Batch Downloads.
To manually download your batches, click on the green down arrow on the following business day after the batch upload to display the following window.
After you click Request Download, the following message will display within the same window:
Click Request Download to download the batches from SEVIS.
The following message will display within the same window:
You may now review your batches in Batch Downloads and Completed Updates.
This action will also unpack all the update records from your downloaded batch. You will be able to view and access them in Completed Updates.
Display Detail
Important information displayed on the Batch Downloads page is explained below.
Clicking on the top left dropdown menu (below, labeled Terra Dotta College - Chapel Hill - beta) will permit you to select any campus site or program associated with your site to review the batches for download, or already downloaded batches.
- Batches: The number of batches in this display.
- Search for a batch in Batch Uploads by entering any display data.
- Records: Dropdown to choose how many records (10, 25, 50, 100) to display on the screen.
- Pages: The number of pages of batches in the display
- Batch ID: The batch ID. Note that events are grouped into batches by OrgID.
- Date Uploaded: The date the batch was uploaded to SEVIS.
- Number of update records: The number of records contained in each batch.
- Org ID: The SEVIS OrgID associated the school associated with the student or scholar (e.g., P-1-16645, or ATL214F14567000)
- Sort: Click this icon to sort any column alphabetically. Click again to reverse the sort order.
- Errors: The errors that were returned with the batch, if any.
- Documents: Click to view and print the PDF documents that SEVIS returned with the successful batch download.
- View: click to see the names and actions for each SEVIS update record contained in the batch in a popup window.
- Print: view a list of actions contained in the batch.
- Test: view the SEVIS code that will be sent to SEVIS in this batch.
- View: Click to view the error detail that was returned from SEVIS with the batch. From here, click on View Record to return to the Update Record.
- Download: Click the Download button in the Documents column to view and print the PDF documents that SEVIS returned in the batch download.
