The reports located in the Reports tab will let you target and manage all your students and scholars throughout the visa lifecycle, from pre-arrival through their program end date and OPT expiration dates.
- Program Start Date Alert: provides the ability to query on program start dates, using the F/M/J Program Start date to help you manage your pre-arrival communications with your students and scholars.
- Program End Date Alert: queries on program end dates, using the F/M/J Program End date, including the Program End Date post-completion OPT records.
- Status End Date Report: lets you quickly query on whose status is expiring soon or has already ended - from either the program end date or the OPT end date, as applicable. This report does not include J Exchange Visitors because their program end date must be extended to accommodate any post-completion training period, so their records are included in the Program End Date Alert only.
Search on any custom date ranges after selecting 90, 30, or 7 days from the drop-down menu on either Program Start Date or Program End Date. Name and save your custom query if you wish. The result is dynamic and will change as your data changes.
Important: The alerts in the SEVIS Admin are divided into different stages. Records move from stage to stage as time progresses. Saved queries will display up to the date range selected. Therefore, the 90-day alert will display any record with a Status End date between 90 and 31 days on the 90-day report; the record will then move to the 30-day report when it is 30 days out.
Program Start Date Alerts
The Program Start Date Alert provides the ability to query on program start dates, using the F/M/J Program Start date to help you manage pre-arrival communication. Program Start Date Alerts provide the ability to generate a Program Start Date Report. You may enter Start Date parameters as needed to generate a custom report.
Program End Date Alerts
The Program End Date Alert queries on program end dates, using the F/M/J Program End date. It does NOT include post-completion OPT records. Program End Date Alerts provide the ability to generate a Program End Date Report. You may enter End Date parameters as needed to generate a custom report. This list contains FMJ students nearing their Program End Date. J students who are on post-completion Academic Training are included in this report because their Program End Date is the end date of the post-completion Academic Training authorization period.
Status End Date Alerts
This report displays student records with imminent status expiration dates - 90, 30, and 7 days out for F/M users. This list includes those students nearing their Program End Date and students nearing the end of their Optional Practical Training period after the Program End Date. The reporting logic for students on post-completion OPT or STEM OPT will search for the AO itinerary end date. The USCIS OPT end date and the DSO Recommended OPT end date are not included in the report logic because the Program End date supersedes both of those values.
Expired program end dates will display in the Past End list. Records will be transferred from the older list as the date drops into the range of the newer list; for example, when a record is 31 to 90 days from expiring, it will appear on the 90 Days list, and when it is 30 days from expiring, it will move from the 90 Days list to the 30 Days list.
Clicking on a list that contains records will bring you to the following display:
- Dropdown menu: select a new date range
- Earliest start date: select a custom earliest start date here. This option is available from all report pages.
- Earliest end date: select a custom earliest end date here. This option is available from all report pages.
- Select record: check this box to select a record.
- Options: select an option from the dropdown menu: apply an application tag, send an email, or export the report as an *xls.
- Name: student or scholar name
- SEVIS ID
- Education Level: Displays the education level for the Academic Objective record
- Primary Major: Displays the primary major for the Academic Objective record.
- Program Start Date: Displays the start date for the Academic Objective record.
- Program end date: Displays the end date for the Academic Objective record.
- Terra Dotta record button link: Redirects to the associated SEVIS Profile page.
- Search: search within displayed records
- Create and name your saved query.
