Maintenance Features
Email Tests
The Email Tests feature lists an institution's current system contact email addresses. It allows an administrator to initiate test emails to those addresses to ensure system emails are delivered as expected. The "To" and "From" email addresses can also be customized so the test email is sent from or to a specific user.
Login Attempts
The Login Attempts feature helps administrators keep track of all login attempts to the institution's site. It shows who tried to log in, when they tried, and whether their attempt was successful, making it easy to monitor site access.
Additional details about a user's login attempt can be accessed by clicking the ID link.
Sent Email
The Sent Email feature records all system-generated emails from the site over the past 60 days. Since these emails may contain sensitive information, it is best to limit access to the Sent Email log to only those who truly need it.
Additional details about the sent email can be accessed by clicking on the ID link.
System Errors
The System Errors feature provides a detailed log of errors that occur on the institution's Terra Dotta site. Most errors are minor and expected, often resulting from expired browser sessions, navigation to previous pages, or momentary server connection issues.
Each error is logged with its date, time, and unique ID#, making issue tracking easier. A sudden increase in errors may indicate a more significant problem. If an uptick is observed, it is recommended that the institution open a support ticket for further investigation. When submitting a support request, including the error's unique ID# and any relevant actions taken helps the Terra Dotta support team investigate effectively.
Additional details about the error can be accessed by clicking the Error link.
SIS Refresh
The SIS Refresh feature gives administrators access to detailed logs for the nightly task and the ability to manually initiate the SIS refresh task.
Merge User
The Merge User feature enables administrators to combine two user profiles on the site and deactivate unneeded accounts.
Logs of recently merged profiles can be accessed by clicking the View Logs button.
Search Results #1 allows the administrator to choose the profile that will be retained. The profile chosen under Search Results #2 is the profile that will be merged.
The records associated with each profile are displayed to ensure the correct profile has been selected. The red banner is a warning indicating that the profile has no existing records.
On the Merge Overview page, an admnistrator will enter the indicated code to confirm that the profiles should be merged.
Scrub Record
The Scrub Record feature lets administrators permanently and irreversibly delete a user's record from the institution's site.
Logs of recently scrubbed records can be access by clicking the View Logs button.
Convert User
The Convert User feature enables administrators to find non-SCL users and convert them to SCL users or to import a batch of users to convert.
Logs of recently converted users can be accessed by clicking the View Logs button.
Edit User
The Edit User feature provides a comprehensive view of the core data fields provided for a user's account. Logs of recently edited accounts can be access by clicking the View Logs button.
On the Search Results page, an administrator will click the radio button for the account they wish to access.
The Edit User feature enables administrators to edit the following core data fields:
- Username
- Name
- Internal/External
- Integrated/Non-Integrated
- Date of Birth
- Gender
- Confidentiality Indicator
The Edit User feature also allows administrators to reset an external user's password and convert a user between integrated and non-integrated status.
SIS/HR Tests
The SIS/HR Tests functionality allows administrators to search tests on integrated SIS and HR systems to verify that user data is imported correctly. Each type of test can be accessed by clicking the respective banner.
