Overview
This KB will review the process of requesting an O-1 amendment to an existing O-1 Scholar and processing an O-1 amendment by an ISSS Admin. This process can be initiated by both the Departmental Admin and the ISSS Admin and are identical processes.
Creating an O-1 Amendment Request
Step 1: Navigate to the Requests Tab of the Scholar's Profile and Select the Amendment Request
To start an O-1 amendment, begin by going to the Scholar Admin Dashboard and select the O-1 card that you would like to request an amendment for. Once in the Scholar Profile, click on the Requests tab.
The Departmental Admin can also click on the Amendment Request button located in the upper right-hand section buttons. Under Available Requests, you will see the pencil and paper icon for Amendment.
Step 2: Answer the Questions and Upload Documents
Clicking on the Amendment icon will open a modal window with questions to fill out. If you select Yes for any of the questions, text fields will appear to input the new information. For example, if you select Yes for ‘Is salary changing?’, a new field will appear asking for the new salary and per (unit of time). You will have the options to answer the following questions:
- What is the reason for requesting an amendment?
-
Is the department changing?
- What is the new department?
- Who is the new department admin?
-
Is job title changing?
- What is the new title?
- What is the new job description?
-
Is salary changing?
- What is the new salary?
- Per (unit of time)
-
Is the worksite location changing?
- Worksite Address Street
- APT/STE/FLOOR
- APT/STE/FLOOR Number
- City
- State
- Zip Code
The next two sections will give you the option to upload any relevant documents to the amendment and to link to previous documents, such as any previous USCIS forms.
Step 3: Click Create Request button
Once completed, click on the Create Request button. The new Amendment will now appear in the Scholar’s card under the Requests tab in the Pending Requests section.
If you need to make any changes to the Pending Amendment, click on the pencil icon under the Actions column. This will display the Amendment window and from here you can make any edits.
Clicking on the opposite arrows icon will display a new screen with information on the old data and new data to allow you to review what information is being made. Any changes being made will be highlighted in yellow.
Processing an O-1 Amendment Request as an ISSS Admin
Step 1: Navigate to the Amendment Request in the Scholar's Profile
After the ISSS or Department Admin has created the O-1 Amendment Request, the ISSS Admin can go into the Scholar's Profile to make a decision on the request. Once in the Scholar’s Profile, go to the Requests tab and click on the pencil icon under the Actions column for the Amendment found in the Pending Requests section.
This will bring the ISSS Admin to a new display with all information from the Amendment.
The ISSS Admin has the ability to delete the Amendment by clicking on the trash can icon located in the upper right corner of the amendment box.
Optional Step: Making Changes in the Request
If any of the answers to the questions need to be changed, the ISSS Admin has the ability to make any changes. They can also delete any saved documents by clicking on the red circle icon under the Action column in the Saved Documents section. Any additional documents can be uploaded in the Document Upload section. Any changes made to the Amendment will need to be saved before moving forward, make sure to click on the Update Request button in the lower right corner.
In the lower right corner, the ISSS Admin has four functions: Comments, Reassign, Decision, and Update Request.
Comments will let the ISSS Admin make any internal comments that will be visible to other ISSS Admins.
Optional Step: Reassigning the Request to another ISSS Admin
Clicking on Reassign will display a new section at the bottom of the page. Reassign will transfer the Amendment to a new ISSS Admin. The ISSS Admin can select from the Admin List which staff member they would like to assign this Amendment to. There is also a WYSIWYG text field for recording any internal office notes. Once complete, click Save.
Step 2: Making a Decision on the Request
Once the Amendment is ready to process, the ISSS Admin will click on Decision. This will display three options: Approve and Initiate Amendment, Deny, and Need more info.
Approving the Request
Approve and Initiate Amendment will display a pop-up display requesting to confirm the approval. There is a section for an internal comment, however, it is not required.
If the Amendment has been approved, the request will move from Pending Requests to Completed Requests on the Requests Tab. A new O-1 card for the O-1 Amendment Request will be created and can be found in the Pending Records tab of the Scholar Admin dashboard. This will require the Departmental Admin, Scholar, or ISSS Admin to complete another entire request.
Denying the Request
Deny will display a pop-up display asking to confirm Amendment denial. An internal comment is required in order to process the denial of the amendment. This will allow the ISSS Admin to email the Departmental Admin and/or Scholar for follow-up information.
